UNIFORM HUB TERMS AND CONDITIONS
A. GENERAL TERMS
1. Acceptance of Terms
By purchasing, ordering, collecting, exchanging, returning, or requesting courier delivery from Uniform Hub, the customer confirms that they have read, understood, and accepted these terms and conditions.
2. Business Scope
Uniform Hub supplies school uniforms, schoolwear, sportswear, winter uniforms, tracksuits, jerseys, blazers, school accessories, corporate uniforms, protective clothing, and related uniform products.
3. Customer Responsibility
The customer is responsible for checking school requirements, sizes, colours, styles, quantities, logos, and specifications before making payment.
4. Assistance by Staff
Uniform Hub staff may assist with sizing, product selection, fitting guidance, and school uniform advice, but the final purchasing decision remains the responsibility of the customer.
5. Accuracy of Customer Information
Customers must provide accurate names, contact numbers, school names, learner details, delivery addresses, order details, and payment references.
6. Changes to Terms
Uniform Hub reserves the right to update, amend, or revise these terms and conditions at any time without prior notice.
B. PRODUCT AVAILABILITY AND STOCK
7. Stock Availability
All items are sold subject to stock availability. Stock may change quickly during busy school seasons, back-to-school periods, winter season, and promotional periods.
8. No Guarantee of Unpaid Stock
Uniform Hub cannot guarantee or reserve unpaid stock. Items are only secured once full payment or an approved deposit has been received.
9. Seasonal Demand
High-demand periods may affect stock availability, delivery timelines, fitting queues, and exchange availability.
10. Supplier Delays
Uniform Hub will not be held responsible for delays caused by suppliers, manufacturers, importers, transport companies, courier companies, or stock shortages outside our control.
11. Substitute Items
Where an exact item is unavailable, Uniform Hub may offer a suitable alternative. The customer must approve any alternative before purchase.
12. School-Specific Stock
Some uniform items are school-specific and may only apply to certain schools, campuses, grades, sports codes, or approved school uniform styles.
13. Limited Sizes
Certain sizes may be limited, discontinued, delayed, or temporarily unavailable depending on supplier stock and demand.
14. Bulk Stock
Bulk orders are subject to stock availability, supplier capacity, production timelines, courier capacity, and full payment confirmation.
C. SCHOOL REQUIREMENTS AND CUSTOMER CHECKING
15. Correct School Uniform Rules
The customer must confirm the latest school uniform requirements directly with the school before purchasing.
16. School Policy Changes
Uniform Hub is not responsible if a school changes its uniform colours, logos, designs, styles, approved supplier rules, or dress code after purchase.
17. Campus Differences
Some schools may have different uniform requirements per campus. Customers must ensure the correct campus uniform is purchased.
18. Grade Differences
Uniform requirements may differ between preschool, foundation phase, primary school, high school, matric, sports teams, and special school programmes.
19. Sportswear Requirements
Customers must confirm the correct sports uniform, PE kit, house colour, tracksuit, cap, socks, and accessories required by the school.
20. Parent or Buyer Confirmation
The parent, guardian, learner, or buyer remains responsible for confirming that every item purchased is correct before payment.
D. SIZING TERMS
21. Sizing Responsibility
The customer is responsible for selecting the correct size before purchase.
22. Size Guides
Size guides are provided as a helpful reference only and may not be exact for every learner, garment style, supplier batch, or body shape.
23. Age-Based Sizes
Age-based sizes are estimates only. Children grow differently, and age does not always match body measurements.
24. Measuring the Learner
Customers are encouraged to measure the learner’s chest, waist, hips, height, shoe size, shoulder width, and arm length where applicable.
25. Fitting Before Purchase
Where possible, customers should fit garments before purchase to reduce sizing errors.
26. Growth Allowance
Customers who want extra room for growth must communicate this clearly before purchase.
27. Final Size Decision
Even where Uniform Hub staff recommend a size, the final size decision belongs to the customer.
28. Size Exchanges
Size exchanges are allowed only if the item qualifies under Uniform Hub’s exchange conditions.
E. EXCHANGE POLICY
29. Exchange Permission
Uniform Hub allows exchanges, provided the goods meet all exchange conditions.
30. Original Packaging
Goods must be returned in their original bags, original packaging, or original product condition.
31. Unworn Goods Only
Goods must not have been worn, used, washed, marked, damaged, stretched, altered, perfumed, stained, or soiled.
32. Tags and Labels
All original tags, labels, barcodes, and packaging must still be attached or returned with the item.
33. Proof of Purchase
Customers must provide proof of purchase, invoice, receipt, order confirmation, or payment reference for all exchanges.
34. Resaleable Condition
The item must be clean, fresh, complete, and in a resaleable condition.
35. Management Inspection
All exchange requests are subject to inspection and approval by Uniform Hub management or authorised staff.
36. Refusal of Exchange
Uniform Hub may refuse any exchange if the item shows signs of wear, washing, damage, stains, odours, missing packaging, missing tags, or any condition that makes it unsuitable for resale.
37. Seven-Day Exchange Period
Exchange requests must be made within 7 days of purchase, unless otherwise agreed in writing by Uniform Hub.
38. Peak Season Exchanges
During peak periods, exchanges may take longer due to high demand, limited stock, supplier delays, and courier schedules.
39. Exchanges Subject to Stock
All exchanges are subject to stock availability at the time of exchange. Uniform Hub cannot guarantee that the required replacement size or item will be available.
40. Store Credit for Exchanges
If a replacement item is unavailable, Uniform Hub may offer store credit at management’s discretion.
F. NON-EXCHANGEABLE ITEMS
41. Worn Items
Any item that has been worn cannot be exchanged.
42. Washed Items
Any item that has been washed, soaked, ironed, tumble dried, dry cleaned, or chemically cleaned cannot be exchanged.
43. Damaged Items
Items damaged by the customer, learner, school activity, washing, ironing, misuse, incorrect handling, or normal use cannot be exchanged.
44. Altered Items
Items that have been altered, shortened, adjusted, repaired, embroidered, printed, labelled, or modified cannot be exchanged.
45. Personalised Items
Personalised, branded, embroidered, printed, named, labelled, or customised items cannot be exchanged unless there is a confirmed manufacturing fault.
46. Hygiene-Sensitive Items
Socks, undergarments, tights, certain accessories, and hygiene-sensitive items may not be exchanged once opened, fitted, or removed from packaging.
47. Clearance Items
Clearance, sale, discontinued, discounted, or marked-down items may be non-exchangeable unless otherwise agreed in writing.
48. Specially Sourced Items
Items specially sourced for a customer may not be exchangeable unless Uniform Hub approves the exchange in writing.
G. RETURNS, REFUNDS AND STORE CREDIT
49. No Cash Refunds for Correctly Supplied Goods
Uniform Hub does not offer cash refunds for correctly supplied goods where the customer selected the wrong size, colour, school, item, or quantity.
50. Refunds Where Approved
Where a refund is approved by management, it may be processed using the original payment method or another method approved by Uniform Hub.
51. Store Credit Option
Where appropriate, Uniform Hub may offer store credit instead of a refund.
52. Store Credit Use
Store credit can only be used at Uniform Hub and cannot be exchanged for cash.
53. Store Credit Validity
Store credit must be used within the period stated by Uniform Hub management.
54. Change of Mind
Refunds will not be issued where the customer changes their mind after purchase.
55. Incorrect Customer Selection
Refunds or exchanges will not be issued for goods purchased incorrectly due to the customer choosing the wrong school, style, colour, size, or specification.
56. Delivery and Handling Fees
Courier, delivery, collection, handling, and admin fees are non-refundable unless otherwise approved in writing.
H. SPECIAL ORDERS AND PRE-ORDERS
57. Special Order Payment
Special orders and pre-orders may require full payment or a deposit before processing.
58. Supplier Confirmation
Special orders are subject to supplier confirmation, production availability, stock availability, and delivery timelines.
59. No Cancellation After Processing
Once a special order has been placed with suppliers or production has started, cancellation may not be allowed.
60. Lead Times
Lead times are estimates only and may change due to supplier delays, courier delays, public holidays, school opening periods, or peak demand.
61. Customer Approval
The customer must approve item details, sizes, colours, school requirements, quantities, branding, and specifications before a special order is processed.
62. Uncollected Special Orders
Special orders not collected within a reasonable period may be moved to general stock, held, resold, or handled at management’s discretion.
I. CUSTOM-BRANDED, PRINTED AND EMBROIDERED GOODS
63. Custom Goods
Custom-branded, printed, embroidered, bespoke, made-to-fit, or personalised goods are produced according to the customer’s approved instruction.
64. Approval Before Production
The customer must check and approve all branding, spelling, names, logos, colours, sizes, positions, artwork, and garment details before production.
65. No Exchange on Approved Custom Items
Approved custom items cannot be exchanged or refunded unless there is a confirmed production error caused by Uniform Hub.
66. Colour Variation
Slight colour differences may occur between digital previews, fabric batches, embroidery threads, print colours, samples, and finished products.
67. Logo and Artwork Responsibility
The customer is responsible for providing correct logos, artwork, spelling, names, school details, and branding instructions where applicable.
68. Bespoke and Made-to-Fit Items
Bespoke and made-to-fit items are produced to specific instructions and may not be returned or exchanged unless there is a confirmed manufacturing fault.
J. PAYMENT TERMS
69. Payment Before Release
Goods will only be released, collected, dispatched, ordered, produced, or reserved once payment has been received.
70. Payment Confirmation
Uniform Hub may require proof of payment before processing, releasing, or dispatching an order.
71. Bank Clearance
Orders paid by EFT may only be released once the payment reflects or is confirmed by Uniform Hub.
72. Pricing Validity
Prices may change without notice due to supplier increases, transport costs, exchange rates, stock shortages, seasonal demand, or business changes.
73. Quote Validity
Quotations are only valid for the period stated on the quote. If no period is stated, Uniform Hub may revise the quote at any time.
74. Ownership of Goods
Ownership of goods transfers to the customer once payment has been completed and goods have been collected or dispatched.
K. COURIER AND NATIONWIDE DELIVERY
75. Nationwide Courier
Uniform Hub offers courier delivery nationwide across South Africa.
76. Courier Fee
Courier delivery starts from R150 per parcel, depending on parcel size, parcel weight, delivery address, courier company, and service level.
77. Courier Payment
Courier fees must be paid before dispatch unless otherwise agreed in writing.
78. Parcel Size
Large, heavy, multiple, or bulky parcels may attract higher courier fees.
79. Delivery Address
The customer must provide the correct delivery address, recipient name, phone number, postal code, and delivery instructions.
80. Incorrect Address
Uniform Hub is not responsible for delays, failed deliveries, returned parcels, or extra courier charges caused by incorrect delivery information.
81. Delivery Time Frames
Delivery time frames are estimates only and depend on the courier company, delivery area, road conditions, peak periods, public holidays, and courier schedules.
82. Courier Delays
Uniform Hub is not responsible for courier delays once the parcel has been handed over to the courier company.
83. Tracking Assistance
Uniform Hub will assist with tracking information where available.
84. Missed Deliveries
If the courier attempts delivery and the customer is unavailable, any additional delivery costs may be for the customer’s account.
L. COLLECTION TERMS
85. Collection Confirmation
Customers collecting orders must check their items before leaving the store.
86. Collection by Third Party
If someone collects on behalf of the customer, that person must check and accept the order on the customer’s behalf.
87. Proof of Collection
Uniform Hub may require proof of order, proof of payment, name, contact number, or identification before releasing goods.
88. Uncollected Orders
Orders not collected within a reasonable period may be handled at management’s discretion.
M. FAULTY GOODS AND QUALITY CLAIMS
89. Fault Inspection
Any claim of faulty goods must be brought back to Uniform Hub for inspection before the item is worn, washed, altered, or used further.
90. Defect Reporting Period
Any visible defect must be reported within 48 hours of receipt or collection.
91. Manufacturing Faults
If a genuine manufacturing fault is confirmed, Uniform Hub may repair, replace, exchange, refund, or refer the item to the supplier.
92. Wear and Tear
Normal wear and tear, fabric ageing, school use, sports activity damage, scuffing, pulling, stretching, fading, and rough handling are not manufacturing faults.
93. Incorrect Washing
Uniform Hub is not responsible for damage caused by incorrect washing, ironing, bleaching, soaking, tumble drying, dry cleaning, or chemical cleaning.
94. Care Instructions
Customers must follow all garment care instructions to maintain the quality and lifespan of uniform items.
N. ONLINE PRODUCT TERMS
95. Online Colours
Colours displayed online may differ slightly from actual garments due to screen settings, lighting, camera quality, fabric batches, and supplier variations.
96. Product Descriptions
Uniform Hub aims to provide accurate product descriptions, but slight differences in fabric, shade, fit, and finish may occur between batches.
97. Online Orders
Customers placing online orders must ensure all sizes, schools, colours, quantities, delivery details, and product selections are correct before checkout.
98. Online Stock Updates
Online stock availability may change without notice and may not always reflect real-time in-store stock.
O. FINAL TERMS
99. Management Discretion
Uniform Hub reserves the right to make the final decision on exchanges, store credits, special orders, returns, courier matters, complaints, and any matter not specifically covered in these terms and conditions.
100. South African Law
These terms and conditions are governed by the laws of the Republic of South Africa.
101. Agreement to Terms
By purchasing from Uniform Hub, the buyer confirms that they have read, understood, and accepted these terms and conditions.
